AI chatbot development has changed since the days of button menus and keyword triggers. Modern chatbots built on models like Claude, GPT and Gemini understand free-text questions and write natural answers. The risk has changed too: a chatbot that answers from a model's general knowledge will confidently invent a returns policy, a discount or a product feature. The work that matters is grounding the bot in your content and data, setting firm limits, and knowing when to hand over to a person.
Our custom AI chatbot development services cover customer support, presales questions, lead qualification and internal knowledge. Chatbots are one part of our AI automation services. When a bot needs to investigate and take multi-step actions across systems, it becomes an agent, which we cover on our AI agent development page.
Our AI Chatbot Development Services
- Website support and presales chatbots. Answer questions about products, services, pricing models, delivery and policies from your own pages and documents, and capture leads when a visitor is ready.
- Ecommerce chatbots. Look up order status and tracking through the Shopify Admin API or WooCommerce REST API, explain return eligibility, recommend products from your catalog and hand complex cases to your helpdesk.
- WhatsApp chatbots. Built on the WhatsApp Business Platform (Cloud API) for customer service, order updates and appointment handling.
- Lead qualification chatbots. Ask the questions your sales team would ask, score the answers, book meetings and push the lead into your CRM with a transcript.
- Internal knowledge chatbots. Answer staff questions in Slack or Microsoft Teams from your handbooks, SOPs and product documentation, with links back to the source.
Rule-Based, Generative and Hybrid Chatbots
Rule-based chatbots follow fixed menus and keyword triggers: predictable, but useless once a question falls outside the script. Generative AI chatbots use a language model to understand free text and write answers, which handles variety well but needs grounding and limits. Hybrid chatbots combine the two, using fixed flows for tasks that must go exactly right, such as verifying a customer or booking a slot, and generative answers for everything else. Most of the business bots we build are hybrids.
How Grounded Chatbots Work
Most useful business chatbots use retrieval-augmented generation (RAG). Instead of relying on what the model learned in training, the bot searches your content for the passages relevant to each question and answers from those passages only.
- Collect sources. Web pages, help center articles, PDFs, policy documents and product data, with a named owner for each source.
- Prepare and index. Content is split into sensible sections, turned into embeddings and stored in a vector database, with metadata such as product, region and last updated date.
- Retrieve and answer. For each question the bot retrieves the closest passages, answers from them, and cites the page or document it used.
- Stay current. Sources are re-indexed on a schedule or when content changes, so a policy update on your site reaches the bot without a rebuild.
Live data, such as order status or stock levels, is not stored in the index. The bot calls your systems through defined tools at the moment it needs the answer.
Guardrails and Human Handoff
- Scope rules. The bot declines off-topic requests and never offers discounts, refunds or commitments that are not written in your policies.
- Say "I don't know". When retrieval finds nothing relevant, the bot says so and offers a person rather than guessing.
- Clean handoff. Conversations pass to Gorgias, Zendesk, Intercom, Help Scout or email with the full transcript and a summary, so the customer does not repeat themselves.
- Disclosure. The bot tells users they are talking to an AI. It is good practice, and the EU AI Act requires it for systems that interact with people.
- Test set. Before launch we run a set of real customer questions, including awkward ones, and review every answer with you.
WhatsApp Chatbot Specifics
WhatsApp has rules that shape the build. Businesses can reply freely within 24 hours of a customer's last message. Outside that customer service window, you can only send pre-approved message templates, such as order updates or appointment reminders. We design flows around that window, prepare templates for approval in WhatsApp Manager, and connect the bot to your helpdesk so agents can take over inside the same thread.
How Are AI Chatbots Developed?
AI chatbots are developed by auditing the questions customers actually ask, preparing the content the bot will answer from, building retrieval and system connections, testing against real questions, and launching in stages with monitoring. Our process:
- Question audit (about 1 week). We review past chats, emails and tickets to find the questions that make up most of your volume and the ones a bot should never answer.
- Design and sources (1 to 2 weeks). We agree the bot's scope, tone, handoff rules and the content it will draw from, and fix gaps in your help content first, because a bot cannot answer from documentation that does not exist.
- Build and test (2 to 4 weeks). We build the retrieval, tools and interface, then test against real questions and adjust until answers are accurate and properly sourced. Order lookups, CRM pushes or WhatsApp add time at this stage.
- Launch in stages (1 to 2 weeks). The bot starts on selected pages or hours, with every conversation logged and reviewed, then expands as quality holds.
- Improve monthly. We review unanswered questions, handoffs and feedback ratings, then update sources and rules.
Deliverables From Our AI Chatbot Development Services
- A live chatbot on the agreed channels (website widget, WhatsApp, Slack or Teams), running on your own model provider account.
- The indexed knowledge base with a source list, a named owner per source and an automatic re-index schedule.
- A written scope and rules document: what the bot answers, what it refuses and when it hands over.
- A test set of real customer questions with the approved answer for each, re-run after every change.
- Handoff wired into your helpdesk with transcripts and summaries attached.
- A monthly report template covering conversations, resolution without handoff, unanswered questions and feedback ratings.
What success looks like for an AI chatbot
Before launch, success means the bot answers the test set accurately with a cited source, declines out-of-scope questions, and hands over cleanly every time. After launch we track the share of conversations resolved without a person, the share escalated, unanswered questions and customer ratings. How much support time that saves depends on your volume and content, so we report it rather than promise it.
Enterprise AI Chatbot Development Service Requirements
Larger organizations usually need more than a widget. For an enterprise AI chatbot development service we scope single sign-on for internal bots (Microsoft Entra ID or Google Workspace), permission-aware retrieval so staff only get answers from documents they are allowed to see, data retention settings with your model provider, and audit logs of every question and answer. We do not hold SOC 2 or ISO 27001 certifications, so organizations whose procurement requires those certifications from the vendor should factor that in.
Custom AI Chatbot or the AI Built Into Your Helpdesk?
| Option | Good fit | Limits |
|---|---|---|
| AI features built into your helpdesk | Simple FAQ answers from help center articles, quick to switch on | Usually limited to that helpdesk's content and channels, often billed per resolution |
| No-code chatbot builder | A basic website bot with a small knowledge base | Live data lookups, custom rules and testing are limited |
| Custom AI chatbot development services | Several sources, live order or account data, WhatsApp, strict rules, internal SSO | Takes weeks rather than hours, and needs an owner for content |
If your helpdesk's built-in AI covers your questions, use it. We build custom when the bot needs your own systems, several channels or tighter control.
AI Chatbot Development Mistakes We See
- Launching on every page at once. A staged launch catches bad answers while volume is low.
- Feeding the bot outdated PDFs. Old policies in the index produce confident wrong answers. Every source needs an owner and a review date.
- Hiding the human option. Customers who cannot reach a person get angry fast. A visible handoff protects the brand.
- Never reading the logs. The unanswered-question list is the best roadmap for both the bot and your help center.

Why Choose 95 Solutions as Your AI Chatbot Development Company
- Ecommerce depth. Mustafa has led marketing for a US resort wear brand since 2016, and co-builds AM Jarvis for Shopify and WooCommerce stores, so ecommerce chatbots are built by people who understand orders, returns and catalog data.
- Grounded by default. Every bot we build answers from your sources, cites them and escalates when unsure.
- You own it. Bots run on your own model accounts and API keys, with code and content in your control.
- Clear terms. Fixed-price builds, an optional monthly plan with a short minimum term, USD contracts from our US LLC and hours that overlap the US and UK business day.
Who Should Build an AI Chatbot
A good fit: stores and service businesses with a steady volume of repeat questions, teams with decent help content (or willing to write it), and companies whose staff lose time searching internal documents.
Probably not a fit: businesses with very few inquiries, or anyone wanting a bot to give medical, legal or financial advice without human oversight.
AI Chatbot Development Pricing
Chatbot projects are priced as a fixed-price build based on channels, sources and integrations, with an optional monthly plan for monitoring, content updates and improvements. The main cost drivers are the number of channels, how much content must be cleaned up before indexing, live lookups into Shopify, a CRM or a booking system, enterprise needs such as single sign-on and permission-aware retrieval, and the number of languages. Model usage is billed by your AI provider to your own account. The plans below show the starting points.
